Communications Archiving

Also known as: Smarsh, Global Relay, email archiving

Short answer

Communications archiving is the capture and retention of business communications, such as email, texts, chat and social posts, in a tamper-proof archive, typically with providers such as Smarsh or Global Relay. Broker-dealers and investment advisers use it to meet SEC and FINRA record-keeping rules.

Communications Archiving explained

Archives capture messages through journaling from the email server, integrations with messaging and social platforms, and connectors for CRMs and marketing tools. Emails sent from HubSpot or Salesforce do not always pass through the corporate mail server, so they may need a BCC address, connector or mail-flow rule to be captured. Archives support search, supervision review and production to regulators.

SEC enforcement over off-channel communications has made complete capture a priority.

How Vantage Point helps: we make sure email and activity sent from Salesforce and HubSpot reaches your archive and supervision workflow.

Frequently asked questions

Are emails sent from HubSpot archived automatically?

Not necessarily. Unless they route through your mail server or a connector, you may need a BCC-to-archive setting or an integration.

What is the difference between archiving and backup?

Archiving retains communications unaltered for compliance and supervision. Backup protects against data loss and supports recovery.
