Short answer
Use a sequence when a salesperson is following up one to one and the outreach should stop when the person replies or books a meeting. Use a workflow when the system should act on its own: updating properties, sending marketing email, routing leads, creating tasks or notifying people. Many processes use both, with a workflow enrolling contacts and a rep owning the sequence.
The difference in one table
| Sequences | Workflows | |
|---|---|---|
| Sent from | The rep's own connected inbox | HubSpot, as marketing or automated email |
| Stops when | The contact replies or books a meeting (configurable) | Unenrollment criteria you set |
| Who controls it | The individual rep | Admins and operations |
| Can update records | Limited | Yes: properties, owners, associations, tasks, webhooks, custom code |
| Licensing | Needs a Sales Hub or Service Hub seat that includes sequences | Depends on hub and tier |
Use a sequence for
- Follow-up after a discovery call or a webinar where a rep owns the relationship.
- Prospecting a short list of named accounts.
- Reminders and tasks for the rep, such as a call on day 3 and a LinkedIn touch on day 5.
Use a workflow for
- Lead routing and owner assignment.
- Lifecycle stage updates and data cleanup.
- Nurture email to people who haven't talked to a rep yet.
- Internal alerts, for example notifying compliance when a contact marks a complaint.
- Enrolling a contact in a sequence on behalf of an owner, when the trigger is a form or a property change.
Compliance notes for regulated firms
- Sequence emails are one-to-one correspondence from a rep's mailbox. If you're a broker-dealer or adviser, make sure those mailboxes are captured by your archiving system.
- Marketing emails from workflows may count as communications with the public under FINRA Rule 2210. Route templates through your review process before they go into automation.

Frequently asked questions
Do HubSpot sequences stop when a contact replies?
Yes, by default a contact is unenrolled when they reply to a sequence email or book a meeting through the rep's link. You can adjust the settings, but stopping on reply is what makes sequences feel personal.
Can a workflow enroll someone in a sequence?
Yes. A workflow action can enroll a contact in a sequence on behalf of a user, for example the contact owner, as long as that user has a seat that includes sequences and a connected inbox.
Salesforce, HubSpot, Anthropic and OpenAI change their products often. Check the official documentation before you rely on a specific setting, limit or price.
