Debt settlement CRM consulting
A debt resolution platform built on Salesforce, with HubSpot for lead capture and routing. You work with the team you meet.
Enrollment, client deposits, creditor negotiations and settlement payments on one client record, reconciled with your dedicated account processor and built for TSR and state recordkeeping rules. We unified a national debt resolution firm with 250+ employees in 90 days and are building a second firm’s sales, servicing and settlements operation now.
● Three debt relief and settlement clients since 2019 · 1 published case study · 1 platform in delivery
What a debt settlement firm needs from its CRM
A debt settlement CRM has to carry a client from the first call through enrollment, deposits, creditor negotiation and the last settlement payment, with the money trail and the compliance record attached to the same client the whole way. Most firms run that across a sales CRM, a servicing or settlement system, a payment processor portal, a dialer and spreadsheets. Our work is putting it on one platform.
How we build for debt settlement
Enrollment to settlement on one client record
Contact details, credit pull, co-applicant, underwriting notes, enrolled debts, deposits and settlements on one record, so sales, servicing and negotiations work from the same data instead of three systems and a spreadsheet.
A money trail that stays auditable
Every client draft, settlement payment, fee and reversal in one ledger with running escrow and fee balances, reconciled with the dedicated account processor on a schedule instead of by hand each morning.
Compliance in the workflow, not in a report
Bank account validation, KYC, credit pull with bureau failover and TCPA do-not-call automation embedded in enrollment and dialing, with Shield encryption, field audit trail and event monitoring behind them for five-year TSR recordkeeping.
Phased delivery that respects your licenses
Highest-value team first, then the next, and Salesforce seats bought when they can be used. The national firm we unified went live with its service team in one phase and its negotiations and settlements team in the next, with full unification 90 days after the first go-live.
Salesforce or HubSpot
We implement both. For most debt settlement firms Salesforce runs enrollment, servicing, settlements and the money trail, and HubSpot runs lead capture, affiliate attribution and marketing with real-time routing into Salesforce. Smaller firms and counseling organizations can run the whole operation on HubSpot.
Salesforce
Best for: firms with 25 to 500 staff, multi-state operations, affiliate networks, and anyone replacing Forth, Debtonator, LeadTrac, NuDebt, QuickBase or spreadsheets
- Client record with credit pull, co-applicant and underwriting on one page
- Debt calculator, draft scheduling, transaction and credit item ledgers, settlement schedules
- Dedicated account processor integration with automated reconciliation and payment clearance
- Service Cloud for servicing and retention, replacing Zendesk or email queues
- Shield encryption, field audit trail and event monitoring for TSR and state recordkeeping
HubSpot
Best for: lead capture and marketing in front of a Salesforce enrollment floor, or the whole CRM for smaller debt relief firms and credit counseling organizations
- Web, call and affiliate lead capture with source attribution
- Real-time lead routing into Salesforce so the enrollment team calls within minutes
- Enrollment and retention sequences, SMS and email with consent capture
- Pipeline tracking for enrollment and settlement stages where HubSpot is the CRM
- Closed-loop reporting from lead source to enrolled debt
What the platform looks like
Six screens from a debt resolution platform we built on Salesforce, in the order a client moves through the program. Enrollment, program design, deposits, the money trail and creditor settlements all sit on one client record.
1. Client record
Contact details, the credit pull, underwriting messages and the debt calculator on one page, with the client and co-applicant profile alongside. SSN and date of birth sit in dedicated fields that can be encrypted at rest with Salesforce Shield.
2. Debt calculator
Reps pick which tradelines to enroll from the credit report and model the program live with the client: term, payment frequency, down payment, program percentage and fees. Estimated settlement, program fees, total cost and savings recalculate as terms change, with a max-settlement guardrail that keeps quotes consistent across reps.
3. Draft scheduling
Once a client enrolls, servicing creates the full schedule of client deposits in one action. Each draft carries its amount, fee portion and escrow allocation, and a date that has already passed rolls forward automatically.
4. Transaction ledger
Deposits in, settlement payments out, fees, and running escrow and fee balances in one grid. Filter by inflows, outflows or status, see skipped payments and NSF counts at a glance, and export to Excel in one click.
5. Credit item ledger
Every enrolled debt with its original balance, settlement amount and remaining to settle, plus the negotiator, negotiation status and settlement status. Current creditor and alternate payee fields track accounts that move to collectors or debt buyers mid-program.
6. Settlement schedule
Expanding a creditor shows each settlement payment against that debt, scheduled and posted, with check numbers, fees and a running balance to settle. A reversed payment posts as a negative entry and the balance adjusts on its own.

Frequently asked questions
Common questions about CRM solutions for debt settlement companies
What CRM do debt settlement companies use?
Most mid-sized firms run a debt settlement specific system such as Forth (formerly DebtPayPro), Debtonator, LeadTrac or NuDebt, often with a separate sales CRM, a dialer and spreadsheets around it. The largest firms in the industry run Salesforce. We build debt settlement operations on Salesforce, with HubSpot in front for lead capture and marketing where that fits, so enrollment, deposits, negotiations and settlement payments share one client record.
Can Salesforce integrate with Global Holdings, RAM or another dedicated account processor?
Yes. For a national debt resolution firm we integrated Salesforce with Global Holdings for real-time account provisioning, draft scheduling, ad-hoc payments and hourly batch reconciliation; it was the largest single piece of that build. The same pattern applies to RAM, CFTPay and Forth Pay through their APIs. The result is a transaction ledger in Salesforce that matches the processor without anyone re-keying payments.
How does the CRM handle the TSR advance-fee rule and five-year recordkeeping?
Fees are tied to settlements in the data model, so a fee cannot post before the creditor settlement it belongs to. Call records, consent, disclosures and communications stay attached to the client record, and Salesforce Shield adds encryption at rest, field audit trail and event monitoring so you can show a regulator what was changed, by whom, and when, across the five-year retention period the 2024 TSR amendments require.
How do you avoid paying for Salesforce seats before go-live?
We phase the build by team and buy licenses when each team can use them. The 250-employee firm went live with its 60-person service team first, then its 90-person negotiations and settlements team, and was fully unified 90 days after the first go-live. We plan the Salesforce order with the account team so seats, Shield and any contact center licenses line up with those dates.
Can one platform run both debt settlement and consolidation lending?
Yes. Firms that pair a settlement program with a consolidation or graduation loan need loan origination and servicing objects next to the settlement objects, with one view of the client. We are building that model now for a national consumer-finance and debt-relief firm, with credit pull, underwriting and the lending partner connected to the same client record as enrollment and settlements.
