Privacy Policy
How Vantage Point collects, uses and protects personal information.

This policy explains what personal information Vantage Point collects through vantagepoint.io, how we use it, who we share it with and the choices you have. "Vantage Point", "we" and "us" mean Cockrum Consulting, LLC, doing business as Vantage Point, 5473 Blair Rd, Ste 100 PMB 985504, Dallas, TX 75231-4227, USA. We are the controller of the information described here.
This policy covers our website and the site assistant on it. It doesn't cover data we process for clients under a services agreement. That work is governed by the client's agreement with us, and the client's own privacy notice applies to their customers.
Information we collect
Information you give us
- Forms and messages. When you fill in a form, leave a message or ask the site assistant to pass your question to the team, we collect what you enter: usually your name, work email, company, role, industry, the platforms you're interested in and your message.
- Meetings. When you book a call, our scheduling tool collects your name, email, the time you pick and anything you add to the booking form.
- Emails and calls. If you email or talk with us, we keep the correspondence and notes needed to follow up.
- The site assistant. When you search or ask the assistant a question, we store your searches, your questions, the answers and which links you clicked. If you type contact details into the assistant and agree to be contacted, we send them, with the conversation, to our CRM.
Please don't enter sensitive information (for example account numbers, health details or government ID numbers) into forms or the assistant. We don't need it and don't ask for it.
Information collected automatically
- Usage data: pages viewed, time on page, how far you scroll, the page that referred you, campaign tags in the link (UTM parameters), and clicks on calls to action.
- Device and location data: browser and device type, and approximate location (country, region and city) derived from your IP address.
- Identifiers: cookie IDs and similar identifiers set by us and by the tools listed below.
Our own site assistant does not store your IP address. It uses a salted one-way hash of it, only to limit abuse, and derives approximate location from our hosting provider's network headers. Some third-party tools on the site do receive your IP address, as described below.
Information from other sources
We use business data providers to understand which companies visit our site and to complete records in our CRM, for example company name, size, industry and a person's job title and business contact details. See "Visitor identification" below.
Cookies, browser storage and similar technologies
We use cookies, pixels and browser storage. You can choose which categories to allow in the cookie banner, and change your choice at any time with the "Cookie settings" link in the site footer.
- Strictly necessary: the cookie banner's own record of your choice, security and load balancing.
- Analytics and functionality: HubSpot (site analytics, forms, meetings and the cookie banner), Google Analytics and Google Tag Manager, Microsoft Clarity (session analytics, including clicks and scrolling), RudderStack (event collection) and our site assistant's first-party analytics.
- Advertising and measurement: Google Ads conversion tracking and the OpenAI advertising pixel, which measure whether ads led to visits or sign-ups.
- Visitor identification: Apollo.io (see below).
The site assistant follows your cookie choice. If you accept cookies, it remembers a small interest profile (for example which platform and industry pages you looked at) and a random visitor ID in your browser's local storage, so it can suggest relevant questions when you come back. Before you choose, it keeps this for the current tab only. If you decline, or if your browser sends a Global Privacy Control signal, it stores nothing about you, doesn't record your page views and doesn't keep your conversation between pages.
Visitor identification
We use Apollo.io's website visitor tool. It uses your IP address and cookies to match visits to companies in Apollo's business database, and in some cases to a person's business profile (name, job title, business email and company). We use this to see which organizations are interested in our services and to prioritize follow-up. It only runs if you allow analytics and advertising cookies, so declining them in the cookie banner or Cookie settings turns it off. You can also ask Apollo to remove your profile from its database through Apollo's own privacy request process.
The site assistant and AI
The assistant answers questions using only the content published on vantagepoint.io. Its answers are generated by AI models and can be wrong, so please check the linked pages. To produce an answer, your question and the relevant page text are sent to AI model providers through Vercel AI Gateway: Anthropic (answers), OpenAI (search embeddings) and Cohere (ranking search results). We use their business APIs, not consumer apps, and they process these requests to return results to us. Conversations are stored in our database so we can improve answers, fix gaps in our content and follow up when you ask us to. If you mark an answer as unhelpful, we may use your question (without your contact details) to draft new FAQ or glossary content.
If you ask to talk to a person, the assistant sends your email and the conversation to our CRM so whoever replies, by live chat or email, already has the context.
How we use information
- To answer your questions, reply to messages, schedule and hold meetings, and send proposals you ask for.
- To run, secure and improve the website and the assistant, including fixing content gaps and preventing abuse.
- To understand how visitors use the site and which marketing works.
- To send you marketing emails where the law allows. Every marketing email has an unsubscribe link.
- To meet legal obligations and protect our rights.
If you're in the EEA, UK or Switzerland, our legal bases are: your consent (non-essential cookies, visitor identification and, where required, marketing emails); taking steps at your request before entering a contract (replying to enquiries and proposals); our legitimate interests in running and improving our business, website and security, which we balance against your rights; and legal obligations.
How we share information
We share personal information with service providers that process it for us under contract, including HubSpot (CRM, forms, meetings, chat and email), Vercel (hosting and AI Gateway), Neon (database for the site assistant), Anthropic, OpenAI and Cohere (AI processing for the assistant), Google, Microsoft, RudderStack and Apollo.io (analytics, advertising measurement and visitor identification), Cloudflare (DNS and security) and Google Workspace (email). We may also share information with professional advisers, with authorities when the law requires it, to protect rights and safety, and with a buyer or successor if our business is sold or reorganized.
We don't sell personal information for money. Some advertising and visitor identification tools may count as "selling" or "sharing" personal information for cross-context behavioral advertising under some US state laws. You can opt out by declining advertising cookies in Cookie settings, by sending a Global Privacy Control signal (which our assistant honors and which we treat as an opt-out request), or by emailing us.
International transfers
We're based in the United States, our service providers mainly process data in the United States, and members of our team work from other countries, including Bulgaria. When we transfer personal data from the EEA, UK or Switzerland, we rely on the EU-US Data Privacy Framework where the provider is certified, or on the European Commission's standard contractual clauses (with the UK addendum where needed).
How long we keep information
- Site assistant questions, answers and search logs, and our first-party page-view records: 13 months, then deleted automatically.
- Cached assistant answers: up to one day.
- CRM records of prospects and contacts: as long as there's an active business relationship or interest, and then for up to three years after our last contact, unless you ask us to delete them sooner.
- Client and contract records: as long as the law requires for tax, accounting and legal purposes.
Third-party tools keep data according to their own settings and policies.
Your rights and choices
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a copy in a portable format, object to or restrict certain processing, withdraw consent at any time, and opt out of targeted advertising, sale or sharing, and profiling with significant effects. We don't make decisions about you based solely on automated processing that have legal or similarly significant effects.
To make a request, email help@vantagepoint.io with "Privacy request" in the subject. We'll confirm your request, may ask for information to verify your identity, and respond within the time the law requires (usually 30 days in the EEA and UK, 45 days in US states). You can use an authorized agent where the law allows. If we deny your request, you can appeal by replying to our decision, and we'll respond to the appeal within the time the law requires. We won't discriminate against you for using your rights.
If you're in the EEA or UK, you can also complain to your local data protection authority. In Bulgaria, that's the Commission for Personal Data Protection.
Other choices: use Cookie settings in the footer, the unsubscribe link in any marketing email, your browser's cookie controls, or Google's and Microsoft's own opt-out tools.
Security
We use encryption in transit, access controls and reputable service providers to protect personal information. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
Children
Our website is for businesses and isn't directed to children under 16. We don't knowingly collect personal information from children. If you think a child has given us information, contact us and we'll delete it.
Changes to this policy
We'll update this policy when our practices change and change the "Last updated" date above. If a change is significant, we'll give more prominent notice.
