Decide who can read logged email before you connect inboxes. Set up teams, limit communication access by team or owner, exclude internal and sensitive domains, and test with one user before turning on logging for everyone. Logging doesn't replace your compliance archive.
Decide the rules first
- Which conversations belong in the CRM: client and prospect email, yes; personal, HR and family matters, no.
- Who may read whose logged email: everyone, the same team, or only the owner.
- Which domains and addresses should never be logged, such as your own domain, legal counsel and personal addresses.
Set it up in this order
- Teams. Build teams that match who should see each other's client work. Nested team hierarchies need an Enterprise subscription; overlapping flat teams can stand in.
- Permissions. Set each user's access to communications (all, team or owned only) where your subscription supports it.
- Exclusions. Add internal domains and sensitive addresses to the logging exclusions before anyone connects an inbox.
- Pilot. Connect one or two inboxes, check what logs and who can see it, then roll out.
- Historical email. Check whether HubSpot supports past-email sync for your provider before promising it; support differs between Gmail and Outlook.
Things that surprise people
- Emails only log against contacts and records that exist in HubSpot.
- Replies log when the original email was tracked or logged.
- When a contact is on several deals, emails may associate to more than one. A deal reference in the subject line helps people file correctly.
For regulated firms
CRM logging is a convenience for the team. Your approved archiving system remains the record for books-and-records rules, so make sure all business email reaches it whether or not it logs to HubSpot.
