Rules that keep it clean
- Write entry and exit criteria for every lifecycle stage and every deal stage, and agree them with sales and marketing before you build scoring or reports.
- Create the deal at a defined trigger, such as a booked discovery meeting, so pipeline numbers mean the same thing every month.
- Don't use stages as a task list. "Waiting on documents" is a task or a status property, not a stage.
- Keep "on hold" as a status property with a follow-up task, so held deals stay in the stage they reached.
- Let workflows move lifecycle stages forward automatically when deals are created and won.
Do you need the Leads object?
Use it if reps work a high volume of prospects and you want to report on prospecting separately from pipeline. Skip it if most opportunities come from referrals or existing relationships; lifecycle stage plus a qualification property is enough.
