HubSpot implementation for CPA and advisory firms
HubSpot for CPA and advisory firms
We set up HubSpot for accounting, tax and advisory firms: pipelines for each service line, engagement letter handoff, Section 7216 consent tracking and access controls that keep confidential client data where it belongs. Fixed-scope packages with published prices, delivered by senior consultants.
Short answer
Vantage Point implements HubSpot for CPA and advisory firms with separate pipelines for tax, audit, client accounting services and advisory work, consent tracking for tax return information, and integrations with the practice management and proposal tools your staff already use. Single-hub Foundation packages are $7,500, a three-hub Customer Platform bundle starts at $18,000, and managed services after launch start at $4,800 a month.
We're a senior-led Salesforce and HubSpot consultancy for financial services and other regulated firms. Accounting firms are a natural fit for that work: confidential client data, consent rules for tax information, and often an advisory or RIA arm with its own marketing rules.
What we build for accounting and advisory firms
| Area | What we set up |
|---|---|
| Service-line pipelines | Separate pipelines or deal types for tax, audit and assurance, client accounting services (CAS) and advisory, each with its own stages, owners and fee fields. Recurring CAS and advisory engagements tracked against renewal dates. |
| Engagement letter handoff | Closed deals hand off to your proposal tool (Ignition, Anchor or PandaDoc) and the signed engagement comes back to the deal, so nobody re-keys client data. |
| Section 7216 consent | Consent status, date and scope stored as HubSpot properties, with lists and workflows that keep anyone without valid consent out of cross-service marketing. |
| Access and confidentiality | Teams, permission sets and field-level restrictions where your subscription supports them, so staff see what their role needs. Tax return data stays out of the CRM unless there's a clear reason for it. |
| Referral sources | Bankers, attorneys and wealth advisors tracked with their own source property, so partners can see which relationships produce engagements. |
| Tax-season capacity | Intake routing and reporting that throttle new work from February to April and queue advisory follow-ups for May. |
| Marketing for advisory arms | A review step for content that may be an advertisement under the SEC Marketing Rule, and a check on how your archiving vendor captures HubSpot email. |
Practice management and accounting integrations
Most firms already run a practice management system, a tax platform and a proposal tool. We connect HubSpot to them so the CRM reflects real engagements.
| System | How it usually connects |
|---|---|
| Karbon | Native HubSpot integration that syncs companies and contacts, with lifecycle stage filters and field mapping |
| TaxDome, Ignition, Anchor | Zapier or a similar middleware tool, with trigger points planned up front |
| QuickBooks | HubSpot Marketplace apps |
| CCH Axcess, Canopy | Middleware or custom API work, scoped after discovery |
| Redtail (advisory arms) | Data sync app in the HubSpot Marketplace |
Integrations beyond a package's included count are quoted after discovery, so you know the cost before work starts.

Who this is for
CPA firms with an advisory or RIA arm
Tax clients, advisory clients and consent rules between them, in one CRM with the right walls.
Growing regional firms
Partners tracking pipeline in spreadsheets or a CRM nobody updates, ready for real service-line reporting.
Firms serving regulated clients
Banks, wealth managers and insurers as clients, where confidentiality and documented process matter.
Not the right fit
Very small firms that only need HubSpot Starter set up, firms looking for a content and SEO agency, or anyone who needs 24/7 support.
Our work with accounting firms
Client names stay private. These profiles come from our CRM records. Our accounting clients to date have run Salesforce, and the same senior team implements HubSpot.
Accounting and tax advisory firm (California). We implemented Salesforce for the firm's sales and client processes, then supported it on a professional services retainer.
Regional accounting and wealth advisory firm (Midwest). A client since 2019, where accounting and wealth advice sit in the same relationship.
Regional accounting and tax firm (Washington). A client since 2020.
Not sure whether HubSpot or Salesforce fits your firm? Our Salesforce vs HubSpot comparison goes through the tradeoffs, and we implement both. For the wider practice, see professional services.

How a CPA firm HubSpot project runs
- Discovery (1 week). Service lines, fee structures, current tools, consent practices and who needs to see what.
- Design (1 to 2 weeks). Pipelines, properties, permission model, consent fields and integration plan agreed in writing.
- Build and migrate (2 to 4 weeks). Configuration, data import from your current CRM or spreadsheets, and integrations.
- Train and launch. Partner and staff training, recorded, with a cutover plan that avoids tax season where possible.
- After launch. Managed services or a retainer, or a clean handoff to your team.
HubSpot for CPA firms: questions
How much does HubSpot implementation cost for an accounting firm?
Vantage Point's single-hub Foundation packages are $7,500, Growth packages run $14,500 to $16,500, and a three-hub Customer Platform bundle starts at $18,000. HubSpot licences are billed separately by HubSpot. Heavily integrated projects are quoted after discovery.
How long does a HubSpot implementation take for a CPA firm?
A single-hub setup takes 3 to 4 weeks. Most professional services implementations take 4 to 8 weeks, and multi-hub projects with migrations and custom integrations can take 10 weeks or more.
How do you handle Section 7216 consent in HubSpot?
We store consent status, date and scope as properties on the contact and build lists and workflows that exclude anyone without valid consent from marketing that uses tax return information. Your firm and counsel decide the consent language. We configure the controls.
Does HubSpot integrate with Karbon, TaxDome or CCH Axcess?
Karbon has a native HubSpot integration that syncs companies and contacts. TaxDome connects through Zapier. CCH Axcess doesn't have a widely documented HubSpot connector, so plan for middleware or custom API work.
Can you support HubSpot after launch?
Yes. HubSpot managed services start at $4,800 a month for 30 senior hours, with a 2-business-hour response target for P1 issues during business hours. Retainers and prepaid hour blocks are also available.
Is HubSpot or Salesforce better for an accounting firm?
HubSpot is usually the faster path for growing CPA firms and marketing-led practices. Salesforce tends to fit multi-office firms with complex engagements, deeper wealth management needs or heavy custom data. We implement both and will tell you which fits.
