The best CRM managed services choice for a mortgage lender depends on the CRM you run and how much of the compliance and LOS work you want a partner to own. Lenders on a mortgage-specific CRM such as Jungo, Total Expert, BNTouch or ICE Surefire are usually best served by that vendor's own service team. Lenders on Salesforce or HubSpot who need Encompass or Calyx Path sync, TRID and HMDA controls and a long-term roadmap should compare specialist partners such as Abstrakt Solutions and Vantage Point, or a larger systems integrator if the CRM program spans a whole bank.

How we compared mortgage CRM managed services

We looked at each option against four questions a lending operations leader should ask before signing a 12-month support agreement:

  • Compliance support. Does the provider publish how it handles TRID timing, HMDA fields, adverse action records, loan officer licensing and TCPA consent inside the CRM? Who approves changes that touch borrower data?
  • Integration depth. Which loan origination systems (Encompass, Calyx Path, Blend, Floify, LendingPad, Byte) does it connect, which direction does data move, and what happens when a sync fails? Pricing engines, credit and servicing data count here too.
  • Ongoing optimization. Is there a monthly health check, release readiness for Salesforce's three releases a year, and a roadmap review, or only a ticket queue?
  • Pricing transparency. Can you see what you'll pay before a sales call?

A vendor's own service team knows its product best but stays inside it. A consulting partner works across the CRM, the LOS and the marketing tools. An internal admin knows your business but is one person.

Not the right fit if: you need 24/7 coverage (we work US Central or Eastern European business hours), you want a low-cost offshore admin for simple tickets, or you're a small shop on a mortgage-specific CRM whose vendor support already covers what you need.

Abstrakt Solutions

What they are. A Salesforce consulting, implementation, integration and AI firm based in St. Louis, Missouri. Its site says it has been a Salesforce partner since 2017, lists the Select tier on its managed services page and cites 150 Salesforce certifications. It is also a Select services partner in Anthropic's Claude Partner Network.

Mortgage work. Abstrakt runs a dedicated mortgage and lending page that names a wide set of systems: Encompass, Calyx, BytePro, Mortgage Cadence, nCino, Blend, Floify, Optimal Blue, Polly, DocMagic and MeridianLink among them. Its compliance list covers TRID disclosure timing and cure procedures, RESPA Section 8 referral documentation, HMDA LAR accuracy with a pre-submission QA workflow, ECOA and FHA adverse action automation, SAFE Act licensing and per-state disclosure rules.

Managed services. The managed services page covers administration, enhancements, Apex and Lightning development, release review in a sandbox, data quality and technical debt cleanup. The team works US business hours. Clients usually commit to a monthly level of capacity, priced from a written scope after discovery.

Best for: Salesforce-only lenders that want a firm with a broad published list of mortgage integrations and a US-based team.

Watch-outs: No published tiers, response times or prices, so you'll need a scoping call to compare cost. HubSpot work isn't listed.

Larger Salesforce systems integrators (Mphasis Silverline)

What they are. Silverline, founded in 2009 in New York, was acquired by Mphasis in 2023 and now operates as Mphasis Silverline, with financial services among several industry practices. It calls itself "an official Encompass integration partner" and offers Salesforce managed services.

Best for: Banks and large lenders where mortgage is one line of business inside a wider Salesforce program, and procurement prefers an enterprise vendor.

Watch-outs: Mortgage-specific compliance scope and managed services pricing aren't published. Ask who will staff your account after the sale and how much of their week goes to mortgage.

Vendor-run services from mortgage CRM vendors

If you run a mortgage-specific CRM, the vendor's own team is often the first call. They know the product well and rarely touch systems outside it.

Jungo. Jungo is a mortgage CRM built on Salesforce. Its FAQ lists direct integrations with Encompass, Calyx, LendingPad, Velocity and Byte. Jungo Managed Services gives enterprise clients certified Salesforce administrators and case specialists, weekly meetings, and custom work such as LOS field mappings and milestone alerts to borrowers and partners. Jungo publishes its prices: Bronze at 10 hours for $1,800 a month up to Platinum at 50 hours for $9,000 a month, with a 3-month minimum and no rollover of unused hours. Good fit for Jungo customers. The service page doesn't describe compliance controls or response times.

Total Expert. Total Expert, based in Minneapolis, describes itself as a customer operating system for financial services, serving mortgage lenders, banks, credit unions and insurers. Its professional services include Admin Copilot (a designated technical account manager), an Integrations Pack subscription, training, campaign support and system assessments. Good fit for Total Expert customers who want deeper use of the platform. Pricing isn't published, and the page doesn't list a compliance-specific service.

BNTouch. BNTouch, based in Beaverton, Oregon, offers a White Glove Service described as a "managed service, run by mortgage people" that analyzes your process, configures the CRM and builds campaigns. It lists two-way LOS sync with Encompass, LendingPad and BytePro. Good fit for brokers and smaller lenders. Service pricing and compliance scope aren't published.

ICE Surefire. Surefire came to ICE Mortgage Technology through ICE's acquisition of Black Knight, which had bought Surefire's maker, Top of Mind Networks. In 2024 ICE began moving Encompass CRM customers to Surefire. The Surefire page cites built-in support for RESPA, TCPA and CCPA requirements, a library of more than 1,000 content pieces and milestone-based campaigns. Good fit for lenders committed to the ICE stack. Service tiers and pricing aren't published.

In-house CRM administrator

A full-time admin knows your loan officers and your exceptions, which is hard to buy. The risk is coverage. One person rarely handles CRM configuration, Encompass middleware, Marketing Cloud deliverability and release testing, and turnover leaves the CRM unattended. Many lenders pair an internal admin with a small retainer from a partner for integration and release work.

Buyer checklist: questions to ask a mortgage CRM managed services provider

Use these in your first call. A good provider answers them with specifics from past mortgage work.

  1. TRID timers. How do you track Loan Estimate and Closing Disclosure deadlines in the CRM, and what alerts fire when a revised LE resets the clock?
  2. HMDA fields. Which HMDA data points live in the CRM versus the LOS, and how do you stop the two from disagreeing before LAR submission?
  3. LOS sync failures. When an Encompass or Calyx Path sync fails, who gets alerted, how fast, and how is the record reconciled? Can we see a sample incident log?
  4. Field-level security. Which borrower fields sync to the CRM at all? Who decides, and who can see SSNs, income or credit data once they're there?
  5. Licensing by state. How do you block a loan officer from being assigned a lead in a state where they aren't licensed under the SAFE Act?
  6. TCPA consent. Where is consent captured, stored and checked before every text or call, and what happens to consent when a lead moves between brands?
  7. Pricing engines, credit and servicing. Have you connected our pricing engine (Optimal Blue, Polly or another), credit vendors or servicing data, or only the LOS?
  8. Examiner evidence. If an examiner asks who changed a field, when and who approved it, what can you hand them the same day?
  9. Release readiness. How do you test each Salesforce or HubSpot release against our integrations before it reaches loan officers?
  10. Exit terms. Who owns documentation, credentials and middleware configuration if we leave?

What should CRM managed services cost a mortgage lender?

Pricing in this market is mostly hidden. Of the providers above, only Jungo and Vantage Point publish managed service prices.

Overage runs $225 an hour for Salesforce and $175 an hour for HubSpot, approved by you in advance. Lenders with lighter needs can choose monthly retainers of 10, 20 or 30 hours, or prepaid blocks of 40 or 80 hours valid for 12 months.

When you compare quotes, check what the hours buy. A vendor package may cover only its own product. A partner's hours should also reach LOS middleware, release testing and a change trail your compliance team can show an examiner. Ask whether health checks and roadmap reviews come out of your hours.

Salesforce Financial Services Cloud suits mortgage banks and multi-channel lenders that need custom workflows, several brands or a borrower portal, and it needs more admin. HubSpot fits brokers and refinance-focused shops that want fast marketing automation, with compliance features supplemented by the LOS.

How does a CRM connect to Encompass?

Usually through middleware or a managed package. ICE offers an Encompass Connector for Salesforce on AppExchange with bidirectional sync. Partners also build integrations through MuleSoft or other middleware that send leads to Encompass and bring loan milestones back to the CRM to trigger borrower and referral partner messages.
