The best HubSpot migration partners for insurance firms are the ones that can move your CRM data and also connect HubSpot to the agency management or policy system that stays your system of record. Of the six firms compared here, Instrumental and Aptitude 8 have the most published insurance migration work, Integrate IQ and SalesPower focus on AMS to HubSpot sync, HubStart is a smaller insurance-first agency, and Vantage Point fits insurers and agencies that need migration, AMS integration and compliance-controlled support from one senior team.

Disclosure: Vantage Point wrote this list and is one of the firms compared. Everything we say about the other firms comes from their own websites or HubSpot partner profiles (sources are kept with the post), and we've tried to say plainly who each firm suits, including when we aren't the right fit.

Why is a HubSpot migration different for insurance firms?

A wealth firm moving to HubSpot usually moves contacts, households and activity history. An insurance agency or carrier has a second system that doesn't move at all: Applied Epic, Vertafore AMS360, HawkSoft, NowCerts, or a carrier's own policy administration system. Policies, carriers, commissions and accounting stay there. HubSpot becomes the place producers and marketers work, and it needs a steady feed of clients, policies, lines of business and renewal (X) dates from the AMS.

That changes what you should look for in a migration partner. Three things matter more for insurance than for most industries:

  • The AMS link, not just the import. HubSpot doesn't have native policy management. Our own insurance page says renewals are tracked through custom properties and workflows. Someone has to design that model and keep it in sync.
  • Tooling gaps. HubSpot Smart Transfer, the built-in migration tool, supports Salesforce, Dynamics 365, Zoho CRM, Pipedrive and several marketing tools, but no insurance agency management system is on its supported list. AMS data needs an API integration, middleware or a partner's sync app.
  • Regulated data in transit. State insurance data security laws and New York's cybersecurity regulation both reach the vendors that touch nonpublic information during a migration.

How we picked and judged these firms

We kept firms whose own sites show HubSpot migration or AMS integration work for insurance specifically, then compared them on four criteria taken from what insurance buyers ask about:

  • Regulatory fit: security credentials they publish, and how they handle nonpublic information during the move.
  • CRM migration depth: which source systems they've migrated (Salesforce, Marketing Cloud, legacy policy systems) and at what record volumes.
  • Integration capability: which AMS or policy systems they connect to HubSpot, and how.
  • Insurance experience: agencies, brokers, carriers or MGAs named in their case studies or service pages.

The six firms compared

Vantage Point

Vantage Point is a senior-led Salesforce, HubSpot and AI consulting firm for financial services and regulated industries, founded in 2018, employee-owned, with headquarters in Dallas and a practice in Sofia, Bulgaria. It's a HubSpot Gold Solutions Partner and a Salesforce partner, with 700+ engagements and 175+ clients. Founder David Cockrum was COO of a wealth management firm before starting the company.

Insurance migration work: our Salesforce to HubSpot migration package moves contacts, companies, deals, tickets, activities and notes (up to 100,000 records, one trial load and reconciliation, owner and pipeline mapping) in 3 to 6 weeks, with 30 days of hypercare after go-live. For the AMS side, our Applied Epic integration and AMS360 integration pages describe the pattern we use: the AMS stays the system of record, and clients, policies, lines of business, renewal dates and producers sync on a schedule into HubSpot custom objects associated with contacts and companies.

After go-live: HubSpot managed services start at $4,800 a month for 30 senior hours (Essentials, 12-month term, licences not included), with a 2-hour P1 response target during business hours. Every change is logged, risk-rated, tested outside production and approved by the client's named approver, with compliance or infosec signing off on changes that touch customer data, permissions or client communications.

Best for: agencies, MGAs and carriers that want migration, AMS integration and ongoing support from one team with written change control, and firms deciding between HubSpot and Salesforce. Our insurance page recommends HubSpot for independent agencies, InsurTech startups and marketing-heavy models, and Salesforce for carriers, MGAs and large agencies.

Not the right fit if: you need 24/7 coverage (support runs in US Central or Eastern European business hours), you want the lowest-cost offshore hours, or you want a large systems integrator for a global carrier program.

Instrumental

Instrumental is an Elite Solutions Partner based in Golden, Colorado, and its HubSpot profile lists an ISO 27001 security credential. It has published more insurance migration case studies than any other firm on this list: Salesforce Marketing Cloud to HubSpot Marketing Hub Enterprise for a non-standard auto carrier (up to 1 million records from a policy system export), Salesforce to HubSpot for a commercial insurance brokerage (up to 350,000 records, with a planned HubSpot and Applied Epic sync as a second phase), a Majesco to HubSpot migration for a small business carrier using HubSpot custom objects, and a Salesforce Sales Cloud and Marketing Cloud move for a specialty carrier. Several of those engagements continued into 9 to 12 months of support and administration.

Best for: carriers and larger brokerages leaving Salesforce or Marketing Cloud at high record volumes.

Ask about: pricing (not published), timelines (its case studies don't state migration durations), and whether the Applied Epic sync is built by Instrumental or your own IT team.

Aptitude 8

Aptitude 8 shows a HubSpot Elite Partner badge and says it's accredited in CRM implementation, custom integrations and advanced CMS. Its insurance page is aimed at agencies, brokers and carriers and centres on Applied Epic: syncing Epic clients to HubSpot contacts and mapping opportunities to deals, through Epic's API or a BigQuery replica. It cites an Applied Epic integration for a global insurance brokerage with 17,000 employees.

Best for: large Applied Epic brokerages that want an engineering-heavy HubSpot build.

Ask about: pricing and timelines (neither is published on its insurance page) and support after go-live.

Integrate IQ

Integrate IQ is a Diamond Solutions Partner that lists its location as remote. Its AMS360 page offers a fixed-price HubSpot and AMS360 integration, quoted as "One fixed price from $3,450, set before work starts," plus a one-time migration of active client and policy data from AMS360. It lays out an 8-week plan: two weeks of discovery, three of build and staging, one of backfill and two of cutover and hypercare. The same page says Vertafore's own AMS360 Connect works with Salesforce and not HubSpot.

Best for: independent agencies on AMS360 that want a defined, fixed-price integration.

Ask about: how the starting price scales with your data and custom fields, and support terms after hypercare.

SalesPower

SalesPower is a Platinum Solutions Partner serving independent insurance agencies in North America. It sells its own AMS sync app, PowerSync AMS, and its profile says NowCerts and HawkSoft clients "can be synced in just days" while other AMS users take longer. It states that it can have your AMS synced, your portal customized for insurance and your team onboarded "in 90 days or less."

Best for: small and mid-sized independent agencies on NowCerts or HawkSoft that want a packaged sync.

Ask about: pricing, which AMS fields the app syncs, and who maintains the app when your AMS changes.

HubStart

HubStart is a Gold Solutions Partner that describes itself as a boutique HubSpot agency whose primary focus is insurance, built around its own "Aegis Protocol." Its profile names insurance systems such as Cara, Wunderite and NowCerts, and lists CRM migration and website migration among its services.

Best for: smaller agencies that want an insurance-first HubSpot team and use the systems it names.

Ask about: migration timelines, AMS integration method and pricing (none are published on its profile).

What do insurance regulations expect from a migration partner?

A migration partner handles client names, policy details and sometimes health or financial information. Two sets of rules usually come up in vendor review.

The NAIC Insurance Data Security Model Law (#668), which each state adopts in its own version, requires licensees to notify the insurance commissioner as promptly as possible and no later than 72 hours after determining that a cybersecurity event has occurred, and it addresses events at third-party service providers. Check your own state's version, since deadlines vary.

In New York, 23 NYCRR 500.11 requires covered entities to keep written policies for third-party service providers: risk assessment of each provider, minimum cybersecurity practices, due diligence and periodic assessment, plus guidelines on access controls including multi-factor authentication, encryption in transit and at rest, and notice of cybersecurity events.

In practice, ask your migration partner how data moves (encrypted transfer, no copies on personal devices), who has access to source and target systems, how long they keep extracts, and how they'll tell you about an incident. If you plan to store sensitive data in HubSpot, note that HubSpot's Sensitive Data setting is available only on Enterprise subscriptions, needs a Super Admin to turn on, and can't be reversed once categories are selected.

Buyer checklist for insurance firms

  • Which AMS or policy system will stay the system of record, and how will policies, lines of business and X dates appear in HubSpot?
  • Have you connected our AMS (Applied Epic, AMS360, HawkSoft, NowCerts or our carrier system) to HubSpot before? Is the sync your own app, middleware, or custom code?
  • Is the AMS sync one-way or two-way, and how often does it run?
  • How many records and how many years of history will you migrate, and how many trial loads are included?
  • How do you handle nonpublic information during the move, and will you complete our third-party security questionnaire?
  • Which HubSpot tier do we need for custom objects and sensitive data?
  • Who owns the integration after go-live, and what does support cost?
  • Who approves changes to permissions, client email and policy data after launch, and where is that approval recorded?
  • Can we see a case study from an agency, broker or carrier of our size?

Frequently asked questions

Can HubSpot replace an insurance agency management system?

No. HubSpot doesn't have native policy management, so most agencies keep Applied Epic, AMS360, HawkSoft or a similar AMS for policies, carriers and accounting. HubSpot handles marketing, producer pipelines and service, with policy data synced in from the AMS.

How long does a HubSpot migration take for an insurance agency?

Published figures range from 3 to 6 weeks for Vantage Point's Salesforce to HubSpot package to about 8 weeks for Integrate IQ's AMS360 integration and up to 90 days for SalesPower's AMS sync and onboarding. Record volume, history depth and the AMS integration drive the timeline more than the CRM move itself.

Can HubSpot Smart Transfer move data from Applied Epic or AMS360?

Not as of October 2026. HubSpot's supported list for Smart Transfer includes Salesforce, Dynamics 365, Zoho CRM, Pipedrive and several marketing tools, but no agency management system. AMS data needs an API integration, middleware or a partner's sync app.

Should an insurance firm choose HubSpot or Salesforce?

It depends on size and how much policy logic lives in the CRM. Our insurance page recommends HubSpot for independent agencies, InsurTech startups and marketing-heavy models, and Salesforce for carriers, MGAs and large agencies, since Salesforce has more established insurance integrations and HubSpot usually needs custom development.

What does a HubSpot migration cost for an insurance firm?

Most firms on this list don't publish migration pricing. Integrate IQ quotes its AMS360 integration from $3,450, and Vantage Point quotes migrations per scope, with HubSpot managed services from $4,800 a month afterwards. Get fixed-scope quotes that state record counts, trial loads and the integration separately.

Do migration partners need to meet NAIC or NYDFS requirements?

The rules apply to the insurer or licensee, but they reach vendors through your third-party oversight program. Expect to ask your partner for security documentation, access controls, encryption practices and incident notice terms before they touch production data.
