Short answer
A system of record is the authoritative source for a particular piece of data. For example, a custodian may be the system of record for account balances, an agency management system for insurance policies, and the CRM for relationships and activity. Integrations should respect which system owns each field.
System of Record explained
When several systems hold the same data, confusion follows unless each data element has a declared owner. The system of record is where that data is created and corrected; other systems receive copies. Integration designs and field mappings document this ownership so updates flow in the right direction and conflicts are resolved predictably.
Agreeing systems of record early prevents most bi-directional sync problems.
How Vantage Point helps: we map data ownership across your CRM, custodian, core, AMS and marketing systems before designing integrations.
Frequently asked questions
Can the CRM be the system of record for everything?
Rarely. Financial data usually belongs to custodians, cores or policy systems, while the CRM owns relationships, activities and service work.
What is the difference between a system of record and a source of truth?
They are often used interchangeably. Some teams use "source of truth" for a combined, trusted view assembled from several systems of record.
