HubSpot Workflows

Short answer

HubSpot workflows are automated processes that act on records when criteria are met, such as updating properties, sending internal notifications, rotating owners, creating tasks or sending marketing emails. They run on contacts, companies, deals, tickets and custom objects.

HubSpot Workflows explained

A workflow has enrollment triggers, optional re-enrollment, and a series of actions with delays and branches. Marketing Hub, Sales Hub, Service Hub and Data Hub each unlock different workflow actions, and Data Hub adds custom code actions. Workflows keep running even if the contact replies, which makes them right for onboarding, data hygiene and lifecycle updates.

As portals grow, overlapping workflows that update the same property are a common source of confusion.

How Vantage Point helps: we audit and rebuild HubSpot workflows, document what each one does, and remove conflicts.

Frequently asked questions

What is the difference between a workflow and a sequence?

A workflow automates actions across records and keeps running regardless of replies. A sequence sends a rep's one-to-one emails and tasks and stops when the contact replies or books a meeting.

Can several forms feed one workflow?

Yes. A workflow can enroll contacts from any of several form submissions.
