Best HubSpot Migration Partners for Wealth Firms

Written by David Cockrum | Oct 13, 2026, 12:10:18 PM

For a wealth management or RIA firm moving client data into HubSpot, the partners with the most relevant public evidence are Mole Street, Instrumental, Proper Expression, Integrate IQ, Media Junction, Resonate and Vantage Point. They differ on wealth experience, Salesforce migration depth and how much of the records and compliance work they take on, so pick based on your source system (Salesforce, Redtail, Wealthbox or spreadsheets) and on who will run HubSpot after go-live.

Disclosure: Vantage Point wrote this list and is one of the firms compared. Every claim about another firm comes from that firm's own website or its HubSpot Solutions Partner profile as checked on October 13, 2026. Where a firm doesn't publish something, we say so.

Why is a HubSpot migration harder for a wealth firm?

Most HubSpot migration guides treat the job as moving contacts, companies and deals. A wealth firm is moving books and records, and that changes the plan.

SEC Rule 204-2 under the Advisers Act requires registered advisers to keep required books and records for at least five years from the end of the fiscal year of the last entry, the first two years in an appropriate office. Electronic records have to be retrievable, backed by a duplicate copy and limited to authorized people. If client notes and written communications about advice live in your current CRM, the migration plan needs to say where that history ends up and how you'll produce it in an exam. Broker-dealer affiliates have their own clock under Exchange Act Rule 17a-4 and FINRA Rule 4511, which sets a six-year default where no other period applies.

The 2024 amendments to Regulation S-P add a vendor angle. Covered firms need written policies for overseeing service providers, and those policies must require providers to notify the firm no later than 72 hours after becoming aware of a breach. Larger entities had to comply by December 3, 2025 and smaller entities by June 3, 2026. A migration partner that handles exports of client nonpublic personal information sits inside that oversight program, even if the project only lasts eight weeks.

Then there's the data model. Advisers think in households, accounts, relationships and custodians. HubSpot thinks in contacts, companies, deals and tickets, extended with associations and custom objects. Somebody has to decide how a household, a joint account and a trust beneficiary map onto those objects before a single record moves.

What do HubSpot's own migration tools cover?

HubSpot gives you two routes, and neither one handles every wealth platform.

  • Imports. Files must be .csv, .xlsx or .xls with one sheet. HubSpot deduplicates contacts on email address and companies on domain name, or any object on a record ID or a unique-value property. Households where spouses share one email address need a plan before import.
  • Smart Transfer. HubSpot's one-way transfer tool supports Salesforce among other sources, but Redtail and Wealthbox aren't on its list of supported apps. Only Super Admins can use it, and transferring custom field mappings requires Data Hub.

So a Salesforce firm has a native path for part of the job. A Redtail or Wealthbox firm should expect export files, API work or an integration that keeps the old system running for a while.

Which partners handle HubSpot migrations for wealth firms?

Mole Street

Mole Street's HubSpot profile lists it as an Elite Solutions Partner with a Financial Services Industry Specialist badge, and names offices in Reston and Philadelphia plus two other locations. Its HubSpot data migration services page says a typical migration takes 2 to 6 weeks, and its FAQ names Salesforce among the source systems it moves. A separate private equity and wealth management page talks about unifying investor data in a wealth management CRM and refers to SEC and FINRA standards. Pricing isn't published.

Best for: wealth and private equity firms that want a migration from a partner with an explicit wealth page and a financial services badge.

Instrumental

Instrumental is based in Golden, Colorado, and its HubSpot profile lists it as an Elite Solutions Partner with an ISO 27001 badge. Its own site lists Salesforce migrations and legacy CRM and spreadsheet migrations, says it has experience migrating CRM and marketing operations from Salesforce, and names banks, credit unions and lenders among its financial services clients. It publishes a mortgage lender case study that consolidated two lending platforms into HubSpot. Pricing isn't published.

Best for: firms consolidating several systems into one HubSpot portal, where Salesforce migration experience matters more than RIA specialization.

Proper Expression

Proper Expression's HubSpot profile lists it as a Platinum Solutions Partner with a Financial Services Industry Specialist badge and locations in Rockville, Maryland and Vienna, Virginia. Its site describes the firm as delivering full-funnel marketing and revenue operations specifically for RIAs. It doesn't name a CRM migration service, though its Wealthbox integration article recommends that advisers fully migrate their CRM to HubSpot. Pricing isn't published.

Best for: RIAs that want marketing and revenue operations help in the same engagement as the HubSpot move, including Wealthbox users.

Integrate IQ

Integrate IQ's HubSpot profile lists it as a Diamond Solutions Partner working remotely, with CRM migration among its services. Its Redtail integration page is built for RIAs and financial advisors: the sync runs from Redtail to HubSpot only, is read-only in HubSpot and treats AUM as sensitive data. That page quotes "Scope-based pricing" starting "From $3,450" for the integration.

Best for: Redtail firms that want HubSpot for marketing and pipeline while Redtail stays the system of record, at least for now.

Media Junction

Media Junction describes itself as an Elite HubSpot Solutions Partner based in Saint Paul, Minnesota. Its HubSpot profile lists CRM migration as a service and a data migration accreditation. Its banking and financial services page focuses on compliance pressure for banks; it doesn't mention wealth management. Its pricing page shows HubSpot implementation "Starting at: $15k" and onboarding "Starting at: $3k". No separate migration price is published.

Best for: banks and broader financial services firms that want a published starting price and may also need website or portal work.

Resonate

Resonate's site footer calls it a HubSpot Diamond Solutions Partner. It publishes a Salesforce to HubSpot migration service with object mapping (for example, Salesforce opportunities to HubSpot deals and cases to tickets) and says most Salesforce to HubSpot migrations take three to eight weeks. Its migration services page says "Most projects range from $2,000 to $15,000". It doesn't publish a financial services focus.

Best for: smaller Salesforce exits where a defined price range matters more than wealth-specific experience.

Vantage Point

Vantage Point is a HubSpot Gold Solutions Partner and a Salesforce partner, headquartered in Dallas with a practice in Sofia, Bulgaria. Since 2018 we've completed 700+ engagements for 175+ clients, mostly in financial services and other regulated industries. Our founder, David Cockrum, was COO of a wealth management firm, Retirement Planners of America, before starting the firm.

Our HubSpot migration guide for financial institutions describes the approach: test migrations in staging before anything touches production, historical records loaded read-only, and a validation gate before go-live. Our wealth management page lists Redtail, Junxure, Salentica Elements and Ebix SmartOffice among the systems we migrate from. Because we work on both Salesforce and HubSpot, we can also tell a Salesforce firm when staying put is the better call. After go-live, HubSpot managed services start at $4,800 a month for 30 senior hours (Essentials, 12-month term, licenses not included), with a named account lead and every change logged and approved by your named approver.

Not the right fit if: you need 24/7 support, you want the lowest-cost offshore admin hours, or you're a global enterprise looking for a large systems integrator.

Partner tier comes from HubSpot's partner program. Read it alongside the financial services column, since a high tier and wealth experience are separate things.

How should you choose a partner for your source system?

Moving from Salesforce. Ask for Salesforce to HubSpot work by name, and ask how the partner handles Financial Services Cloud objects such as households, financial accounts and relationship records. If you plan to use Smart Transfer, confirm whether your HubSpot subscription includes Data Hub for custom field mappings. Ask whether the partner also works on Salesforce, because a partner that only sells HubSpot has no reason to tell you the move isn't worth it.

Moving from Redtail or Wealthbox. Neither appears on HubSpot's Smart Transfer list, so the partner will work from exports or APIs. Decide early whether the old CRM is being retired or kept as the system of record with a sync into HubSpot. Both are reasonable. They're different projects with different costs. If you're still deciding between platforms, our walkthrough of moving from Redtail to Salesforce Financial Services Cloud covers the other path.

Moving from spreadsheets or a custom database. The work is mostly cleanup: deduplication, household grouping and deciding which fields are worth keeping. Ask the partner who signs off on the cleaned file before import.

What should a wealth firm ask before signing?

  • Which wealth or RIA migrations have you completed from our source system, and can we speak to a reference?
  • How will you model households, joint accounts, trusts and beneficiaries in HubSpot?
  • Where will historical notes and communications live after cutover, and how will we produce them for an SEC exam?
  • Will any client data leave our systems, where will it be stored during the project, and when will it be deleted?
  • Will you sign our vendor agreement and notify us of a breach within the 72 hours our Regulation S-P policies require?
  • Do you run test migrations in a sandbox or staging portal before touching production?
  • What reconciliation report will we get, and who on our side approves go-live?
  • How will custodian, portfolio and planning data reach HubSpot after the migration?
  • What happens to email archiving and supervision when advisers start sending from HubSpot?
  • Who supports HubSpot after go-live, at what monthly cost, and with what response target?

Frequently asked questions

How long does a HubSpot migration take for a wealth firm?

Published estimates from the partners above range from two to eight weeks for the migration itself. Cleanup, compliance review and integrations with custodians or planning tools usually add time. A firm with several legacy systems or heavy household data should plan for the longer end.

Can HubSpot migrate data from Redtail or Wealthbox automatically?

Not through Smart Transfer, which doesn't list Redtail or Wealthbox among supported sources. Migrations from either system run through export files, APIs or a third-party integration. Some firms keep Redtail as the system of record and sync a subset of data into HubSpot instead.

Does moving to HubSpot change our record retention obligations?

No. SEC Rule 204-2 still requires advisers to keep required records for at least five years, and broker-dealers follow Rule 17a-4 and FINRA Rule 4511. The migration plan has to keep historical records retrievable, whether in HubSpot, an archive or the retired system.

Is a migration partner a service provider under Regulation S-P?

If the partner receives client nonpublic personal information, treat it as one. The 2024 amendments require covered firms to oversee service providers, including a requirement that providers notify the firm within 72 hours of becoming aware of a breach. Confirm this with your compliance team and put it in the contract.

What HubSpot partner tier should a wealth firm look for?

Tier comes from HubSpot's partner program and says little about wealth experience. A Gold or Platinum partner with RIA migrations behind it can be a better fit than a higher-tier generalist. Use tier as one input next to references and financial services work you can verify. Our list of HubSpot partners for CPA and advisory firms applies the same test to a neighboring industry.

Should a wealth firm on Salesforce move to HubSpot at all?

Sometimes. HubSpot often suits growing RIAs that want marketing and fast rollout, while Financial Services Cloud suits complex households, multiple custodians and heavy supervision. A partner that works on both platforms can give you a straight answer before you commit to the migration.
